How to Shorten a URL (Free, No Sign Up, Every Platform)

1. The basic method — works on any device

This is the whole process. It has not meaningfully changed in fifteen years, and it takes about half a minute.

Step 1: Copy the long URL in full

Click into your browser's address bar and select the whole thing, then copy. On desktop, Ctrl+L (or Cmd+L) selects the entire address in one keystroke, which is more reliable than dragging.

This step is where most failures happen. A web address often continues well past the point where it stops being readable:

Everything after the ? is part of the address. If you copy a link out of an email where it has wrapped across two lines, you will very often grab only the first line. The result is a short link that resolves to a broken page — and because the short link itself looks fine, the cause is genuinely hard to spot later.

Step 2: Open a shortener

Go to urlvanish.com. There is nothing to install, no account to create and no email address to hand over. The input box is the first thing on the page.

Step 3: Paste and click Shorten URL

2. Shortening on specific platforms

On iPhone or Android

No app needed:

1. In your browser, tap the share icon and choose Copy (or long-press the address bar and copy).

In Google Docs

Google shut down its own goo.gl shortener, so Docs has no built-in feature. Two approaches work, and they are not interchangeable:

• Paste a short link — shorten the address first, then paste the short link as visible text. Best when the document will be printed, exported to plain text, or read aloud, because link formatting does not survive any of those.

In Word, Excel and PowerPoint

Same split. Ctrl+K attaches a URL behind selected text in all three. In Excel specifically, a long address in a cell either overflows into neighbouring cells or forces an unreadable column width — pasting a short link instead is usually the better answer, since it stays readable when the sheet is filtered, sorted or exported to CSV.

SharePoint and OneDrive links

These are long because they carry access tokens, and that has a consequence worth understanding:

1. Generate the sharing link in SharePoint or OneDrive first.
2. Check its permissions before shortening. “Anyone with the link” behaves very differently from “People in your organisation”.
3. Paste the entire link — token and all — into the shortener.

Discord, WhatsApp, Telegram and Slack

All of these generate preview cards from links, which can reveal a page title and thumbnail you did not intend to broadcast. Email

Long addresses wrap across lines in plain-text email and arrive broken. They also weigh slightly against you in spam scoring. 3. Making the link readable instead of random

A random code like 9db77087 is fine for a link you paste once into a chat. It is a poor choice for anything printed, spoken aloud, or sent to someone who has no particular reason to trust you.

5. Shortening links on a site you own

A recurring question is how to shorten a link on your own website without a third party. If you control the destination, you do not need a shortener at all — you need a redirect. On Apache, a line in .htaccess is enough:

Now example.com/sale forwards to the long address. This is the best option when it is available, because:

• The link carries your own domain, which people trust more than any shortener
• Nothing depends on a third-party service continuing to exist
• It cannot be blocked as “a shortener domain” by a filter
• Search engines pass link equity through a 301 to the destination

Use an external shortener when you cannot do this: for links to sites you do not control, when you need a QR code generated for you, when you want click statistics without setting up analytics, or when you simply need one link quickly and editing server configuration is not proportionate.

6. Five mistakes that break short links

1. Copying a truncated address. The single most common failure, and the hardest to diagnose after the fact. Always copy from the address bar, never from a wrapped line in an email.
2. Shortening a link that only works while you are signed in. Test in a private window before sharing, or recipients get a login screen instead of your content.
3. Not testing before print. A wrong link on a screen is a two-minute fix. A wrong link on 5,000 flyers is not.
4. Using a shortener that expires links. Several free services prune links after a period of inactivity — exactly the links most likely to be on printed material. See permanent short links.
5. Chaining shorteners. Shortening an already-short link produces a multi-hop redirect, which spam filters treat as a strong abuse signal. Always shorten the original address.
